Pay later: customer accounts and settlements
Sell "on account", open an account at the till, take a settlement and print the receipt.

Some customers (a caterer, a company, a regular) take now and pay later. With a customer account, the sale goes on their account instead of into the drawer; the customer then settles, in one or several payments.
Selling on account#
- Build the order, tap Charge.
- Attach the customer: tap Add a customer (or the customer's name, to change it). Under the name, the till says whether the account is open or the customer has no account.
- Tap the On account tile, then confirm.
The till explains: "Nothing goes into the drawer: the sale is put on the customer's account and settled later." The sale counts in the revenue of the day of the sale, and appears on the customer's statement.
Rules to know:
- A sale on account is due in full: no split, no tip, no loyalty points.
- The customer must have an open account, and the till must be online.
- If the customer has a credit limit and the sale would exceed it, the till refuses: the customer already owes …, this sale would bring the balance to … for a limit of ….
- You can also put an order already sent to the kitchen, or a table order, on account at the end of the meal: attach the customer from the payment screen.
Opening an account at the till#
If the customer has no account yet, the On account tile shows a small "+" and a hint: touch "On account" to open one. (Available when Open customer accounts at the till is on.)
- Tap On account. The "Open an account for …" window opens.
- Choose the payment term: No due date (default), On delivery, 7 days, 15 days, 30 days or 60 days.
- If you wish, enter a credit limit ("No limit" otherwise).
- Tap Open the account.
An owner or manager opens the account directly. A cashier taps "Open the account (manager)": the till then asks for a manager's code or wristband ("Authorisation required"). The opening is written to the activity log, with the person who approved it.
Taking a settlement#
When the customer comes to pay (all or part of what they owe): tap the ⋯ menu in the top bar, then Collect an account payment. (Available when Collect account payments at the till is on, with the till open and online.)
- Pick the customer: search by name or phone. Only customers with an account are listed, those who owe money first, with their balance and the "overdue" part.
- Pay: the till shows the Balance due and the open debts. Enter the Amount received (or tap All), then the Settlement method: Cash, Card, Cheque or Transfer.
- An amount above the balance is refused: the customer only owes ….
- Cheque: the cheque number is mandatory. Transfer: the reference is optional. Card: the terminal (if you have several) and the terminal receipt number.
- Tap Charge …. The screen confirms the amount taken, with the balance before, the settlement and the remaining balance (or "Account settled"), then offers Print the receipt.
Settlements are applied to the oldest debts first. A cash settlement goes into the drawer: "Put the money in the drawer: it is counted in the Z." Anyone can take a settlement; no manager code is asked.
The settlement receipt shows the customer, the amount received, the method, the balance before, the remaining balance, the sales covered and a signature line.
Where it shows#
- Z report: an "On account" line in the payment methods (the sale), and a Customer settlements section ("outside revenue", by method, with the terminal). Only the cash part of settlements changes the drawer: "+ Customer settlements in cash" in the expected cash.
- The customer's account statement (dashboard › Customers › Accounts): Charge (sale), Settlement (payment) and Credit. It prints with a "Please settle the balance due on receipt" footer.
- Activity log: "Customer settlement taken" and "Accounts opened".
For the manager: turning it on#
In Settings › Modules:
