Special orders

For made-to-order cakes, tiered cakes, dated catering orders. The module is on by default for bakeries; elsewhere, turn on "Special orders" in Settings › Modules.

Creating an order#

The Special orders page (Sales menu): New order; references CS-0001…

• Customer name (required), Phone, or a registered customer ("Walk-in customer" by default).
• Assigned to: who prepares it.
• Description (required): "3-tier chocolate cake, rose decoration…".
• Pickup date and time (required).
• To make: lines of catalogue products (the price is then computed), or a free Total price if nothing in the catalogue fits.
• Deposit received and Internal notes.

States: Pending, Ready, Delivered, Cancelled ("Late" badge after the date). A banner announces orders to collect today; filters are "In progress" (default), "Finished", "All".

The deposit and the balance#

The deposit typed is what is asked; it is only paid when taken at the till.

1. Take the deposit (… MAD) opens the till on this order. Afterwards, "Deposit taken ✓" and it can no longer be edited.
2. At pickup, Take the balance (… MAD). Taking the balance moves the order to Delivered automatically. Until the deposit is taken, the balance due is the full price.

"Delivered" by hand is refused while money is due. Cancel leaves the deposit taken: to give it back, refund it from the till's history (refunding).

Printing and notifying#

• The printer prints the order slip; Quote (a pending order with no money taken) prints a quote with the proposed price and the deposit requested (not paid), "valid 15 days, the order is confirmed when the deposit is paid".
• WhatsApp reminder / Notify the customer opens WhatsApp with the message ready to send (planned pickup, balance due). It is a simple WhatsApp link: no account to connect; Moroccan numbers are recognised.

Who can do what#

Any user who opens the page creates and edits. Once money has been taken at the till, only a manager can change the price or content, cancel, reopen a cancelled order or edit a delivered one; only a manager deletes, and only if nothing was taken. Changes of price, deposit and state go to the activity log.

With Exact stock, delivery deducts the products sold from stock; otherwise a special order does not move stock. The storeman does not see this page. Upcoming orders feed the production forecast.
